Getting Started with Microsoft Excel

Formatting data

Text and numbers can be formatted much the same as in Microsoft Word. Select a cell or range of cells and use the formatting toolbar to change size, font, alignment, and color.

To format numbers:

Excel offers you a great deal of flexibility so you can format a number the way you want. For example, you can format a number in currency (such as dollars), with or without commas, with the number of decimal points you want, as a percent, and so on, as shown in the figure.

To format a number, follow these steps:

  1. Select a cell or range of cells.
  2. Choose Format > Cells. You can also press Ctrl + 1 (PC) or Command () + 1(Mac).
  3. Click the Number tab of the Format Cells dialog box.
  4. Select the number category you want.
  5. On the right side of the dialog box, choose the options you want.
  6. Click OK.

 Some number formatting is available on the Formatting toolbar. Click a cell and click the button you want on the Formatting toolbar.
